Virtual Meetings for Event Professionals

Our team is always traveling to help our partners at their events all around the world, so sometimes meeting in person isn’t an option. Collaborating over long distances can be difficult, but with the right tools, you and your team can get things done without missing a beat. Read on for a few of the tools that keep our team together no matter how far apart we might be.

Slack

We’ve told you how much we love Slack for day-to-day communication, but virtual meetings are another great example of its versatility! It’s helpful to make Slack channels dedicated to recurring meetings. You can use the channel to make announcements and to upload slides or other materials after the meeting ends, so that everyone has easy access. Slack also serves as a great backlog to keep track of what has been discussed and accomplished in each meeting.

Skype

Skype’s video calls eases the burden of distance. Its free version allows up to 10 people on group video calls, which is ideal for smaller businesses; their Skype for Business service is perfect for larger companies, allowing online meetings, messaging, calls, and video for up to 250 people. The Skype for Business service also gives users the ability to schedule meetings via skype on Outlook.

Google Hangouts

Google Hangouts is a great, free alternative for video conferencing. You only need a Google login and webcam to use the service, which hosts up to 11 attendees. Google Hangouts also allows you and your colleagues to view and collaborate on Google docs during the “hangout” while keeping video contact with everyone. One of Google Hangouts’ perks is that it doesn’t require download to use. So if you’re ever in a pinch, Google Hangouts is a quick and easy way to set up a meeting in a jif!

Connect with your coworkers and clients through video conferencing and by utilizing the screen share feature in order to maximize on productivity. Customizable meeting links and the ability to use custom meeting backgrounds helps to build your brand, when meeting with prospects or potential partners. Another unique feature, Whiteboard, offers an infinite canvas that allows you to visualize your discussions and thoughts, which can be later edited or uploaded!
